Replacement Guidelines

Receiving and Returning Laptops

Staff who move into an eligible position for the first time will request allocation of a laptop using the Request New Teacher Laptop form which must be signed by the Principal and sent to DEET IT Operations via fax on 8999 5611. IT Operations will arrange delivery of a laptop to the school where it will be issued by the Principal. The details will be recorded on a Laptop Use Agreement form which will be sent to DEET IT Operations.

Teachers who leave eligible positions will hand their laptop back to the Principal at their last school. The laptops must be returned with the carry case, mouse, two power supplies and any documentation or media originally received with the laptop. The teacher will advise DEET IT Operations of all returns using Return of Laptop form.

Conditions of Use

The laptops are assigned to individual teachers and can be used both on and off schools premises. They must be used lawfully and in accordance with Northern Territory Government ICT Usage policies at all times. The Usage polices can be found here.

Under no circumstances can the laptop be used for commercial purposes (ie. if you have a business the laptop cannot be used for this purpose).

Software
Teachers have full administrative access to the laptop, which will enable you to install additional software or hardware on the laptop however you may only use legally purchased or downloaded software on the laptop.

Peripherals
Peripherals can be connected to the laptop at any time. This includes scanners, printers, digital cameras, projectors, etc.

DELL have created a dedicated website for Northern Territory schools and teachers that provides a full listing of peripherals at discounted prices.

Software Piracy and Copyright
The laptop provided to you has the capacity to copy CD’s and as such it is important to note that all Australian and International Laws pertaining to copyright and software piracy must be adhered to at all times.

This means that the laptop cannot be used for illegal duplication of digital media i.e. music. Under certain conditions backups of digital media may be taken.

General Care and Security
Teachers are responsible for the care and security of their assigned laptop. They must ensure the laptop is used in a safe manner and take all necessary precautions to protect the laptop from damage. Teachers are responsible for the security of their laptop on and off school premises and should observe the following security precautions at all times:

  • If you are leaving the laptop in a vehicle, do lock it in the boot or security cage.
  • If transporting by motor vehicle, plane, etc, the laptop must be stored in its carry case and stored out of sight out of direct sunlight. If travelling by air, the laptop should be taken on board as hand luggage to minimise the risk of damage in transit.
  • If you’re leaving it in an unattended office or classroom, put the laptop away first (out of sight is best) and lock the door behind you.
  • Secure the laptop with a Kensington lock

Stolen or Lost laptops
Teachers must report lost or stolen laptops to the Police and obtain a Police Report Number (PROMIS Number). Teachers must also advise the school Principal, complete a Lost/Damaged/Stolen Laptop form and log a job with the DEET Service Desk through your school’s ICTC obtain an incident number or send it to DEET IT Operations via fax on 8999 5611.

Damaged Laptops
The laptop and internal components are covered for normal wear and tear by a three-year warranty, this includes battery and power adapter.

If the damage is covered by the warranty, log a job with the DEET Service Desk through your school’s ICTC, provide the laptop’s asset and serial numbers and obtain an incident number.

If you are in an urban or regional area, the service agent will arrange for the laptop to be collected repaired and returned to the Teacher. Laptops that fail in remote areas may be replaced with a spare computer to reduce the service time.

Non-Warranty Damage
If a laptop is damaged through carelessness or an act of negligence, for example, damaged in transit due to inappropriate packaging, dropped, or liquid spilt on the keyboard, the laptop is not covered by the DELL warranty and the following process should be completed.

  • Log a job with the DEET Service Desk through your school’s ICTC, provide the laptop’s asset and serial numbers and obtain an incident number.
  • Complete the Lost/Stolen/Damaged Form, located on the NT Schools website, detailing how the damage occurred and have it signed by the Principal and fax to DEET IT Operations on 8999 5611. DEET IT Operations will assess each report and advise the Teacher accordingly.

If a laptop has been accidentally damaged, DEET will cover the cost of repairs. If the laptop is beyond economical repair a replacement laptop will be issued.

If a laptop is deemed to be damaged through negligence, the teacher will be responsible for the cost of repairs. If the teacher is not satisfied with the decision, an appeal can be lodged with Director Audit Services by fax on 8999 5483.

Insurance
The Northern Territory Government self insures the Laptops so they will be replaced if they are stolen, lost or damaged beyond repair.

The Department will generally replace a stolen/damaged laptop, although where appropriate, the Department may exercise its discretion not to replace a lost/damaged laptop in circumstances where the negligence of a teacher has caused the loss/damage to the laptop.
